This Privacy Policy outlines Be Good Limited(trading as "be-good events"; " be-good", " we", " our" or " the Company") practices with respect to information collected from users who access the website at https://www.promptlive.ai/ (" Site"), register their interest in the events promoted on the Site, or otherwise share personal information with us (collectively: " Users").

be-good events produces and manages the events promoted on this Site, including Prompt London 2026, and is the data controller for the personal information described in this policy.

Grounds for data collection

Processing of your personal information (meaning, any information which may potentially allow your identification with reasonable means; hereinafter " Personal Information") is necessary for:

  • the performance of our contractual obligations towards you in delivering our events;
  • our legitimate interests in organising, promoting and managing our events;
  • compliance with legal and regulatory obligations to which we are subject; and
  • in the case of dietary, accessibility or other health-related information, your explicit consent given when you submit our registration form.

When you use the Site or register for one of our events, you consent to the collection, storage, use and disclosure of your Personal Information as described in this Privacy Policy.

What information we collect

We collect two types of information from Users.

Non-personal Information. Aggregated and technical information that does not identify you, gathered through your use of the Site. If you confirm attendance, we also ask you to upload a photograph and a short biography for inclusion in the event "biobook" shared with other attendees, and to tell us about any dietary requirements or accessibility needs so we can accommodate you at the event.
  • Event registration information (declining) — if you let us know you are unable to attend, we collect only your name, organisation and email address for our records.

Special category information

Some information you provide — such as dietary requirements or accessibility needs — may reveal information about your health or religious beliefs, which is treated as "special category" data under UK data protection law. We only use this information to cater for you at the event, we share it only with the venue and caterers on a strict need-to-know basis, and we delete it shortly after the event has concluded. We rely on your explicit consent, given when you submit the registration form, to process this information.

The event biobook

If you confirm attendance, your name, job title, company, photograph, and biography will be shared with other confirmed attendees in the event biobook. Please only submit a photograph and biography you are comfortable sharing in this way. If you would like your entry removed from the biobook at any time, please contact us using the details below.

How do we receive information about you?

We receive your Personal Information from the following sources:

  • when you voluntarily provide your details in order to register interest in one of our events;
  • when you use or access our Site;
  • automatically through cookies and analytics tools when you browse the Site.

What we do with the information

We do not rent, sell, or share Users' information with third parties except as described in this Privacy Policy.

We may use the information for the following purposes:

  • Managing your event registration — reviewing your registration, confirming your place, and communicating with you about logistics, timings, location and any changes.
  • Producing the event — sharing relevant information with the venue, caterers and other suppliers strictly as needed to deliver the event.
  • Compiling the biobook — using your photo, name, title, company and biography to produce and distribute the attendee biobook.
  • Responding to enquiries — handling any questions or requests you send us.
  • Improving the Site — analysing aggregated and technical information to improve how the Site works.
  • Compliance — meeting our legal, regulatory and accounting obligations.

Please note that registration for our events is subject to internal compliance review and approval, and we may use the information you provide to carry out that review.

Sharing with third parties

We may share Personal Information with trusted third party providers for the following purposes:

  • Hosting the Site — our website is hosted by Duda;
  • Collecting registrations — registration responses are collected via Tally;
  • Site analytics — we use Google Analytics to understand how visitors use the Site;

Retention

  • Dietary and accessibility information is deleted within 30 days of the event concluding.
  • General event registration information(name, title, company, email, photo, bio) is retained for up to 12 months after the event, after which it is deleted unless you have asked to hear about future events.
  • Records we are required to keep for legal, accounting or regulatory reasons are retained for as long as those obligations require.

Cookies

We and our trusted partners use cookies and similar technologies on the Site.
